Dispatch Software Isn't a Luxury Anymore

I ran dispatch off a whiteboard for longer than I should have. It worked until it didn't. The day two techs showed up to the same address, one job got missed entirely, and I got a call at 6pm from an angry customer who had been waiting since noon was the day I changed the system. If you're still running on a whiteboard, a spreadsheet, or a group text, it's only a matter of time.

What Bad Dispatch Actually Costs You

The obvious cost is the missed job. Less obvious is the tech who drives across town for a job that could have been routed to the tech who was already nearby. Or the customer who called at 8am and never got a confirmation call and called a competitor by noon. Or the emergency call that came in while everyone was on jobs and nobody knew who was available.

Route inefficiency alone costs most small HVAC operations 1-2 hours of drive time per tech per day. At $45 billed per hour, that's real money leaving your business every single day in the form of windshield time.

What Good Dispatch Software Does

At minimum: a shared calendar your office and your techs can both see in real time. Job details pushed to the tech's phone before they leave. Customer contact info attached to the job. Status updates (en route, arrived, completed) that the tech updates without having to call in. That's the baseline.

Better systems add: map-based routing so you can see where everyone is, automated customer notifications when the tech is on his way, job history attached to each customer record, and parts inventory tracking so you know before you send someone whether they have what they need.

The Objection I Always Hear

"We're too small to need software." I've heard this from five-person operations who were leaving money on the table every week through inefficiency. The software pays for itself when it prevents one missed job per month. Most operations prevent far more than that.

The other objection is that techs won't use it. This is partly a change management problem and partly a tech selection problem.
