The Hidden Cost of Bad Scheduling

Most HVAC contractors don't realize how much money they're leaving on the table because of poor scheduling. A technician who should complete four jobs a day finishes two. The customer waiting for an afternoon appointment gets a 4-hour window instead of a 1-hour slot. Your dispatcher is making decisions based on gut feel instead of data.

The Ripple Effect of Better Scheduling

When your schedule works, your technicians get better. They're not jumping between jobs geographically. They're not constantly confused about what's next. They finish the day on time instead of pushing into evening to catch up. That's retention money right there.

Your office staff stops being a switchboard. Instead of fielding calls from customers asking where their tech is, the customer already knows. The tech has exact directions and arrives in the window promised.

Pricing also gets easier. You can offer tighter appointment windows because you know your routes work. Customers pay for reliability. A contractor who says "we'll be there between 1 and 2 p.m." gets premium pricing compared to "sometime tomorrow afternoon."

If you're running on chaos right now, pick one week and write down every job's actual duration versus what you estimated. Write down travel time between jobs. Write down idle hours. You'll see the pattern.

Then rebuild the schedule with that real data. Make the next week's route plan the day before instead of the morning of. Show it to your lead tech for feedback. Refine it based on what they know about the territory.
