ServiceTitan is genuinely impressive software. It has deep scheduling, fleet GPS, marketing attribution, custom reporting, and features built for operations running 20, 50, or 100+ trucks. If that's your business, it's worth evaluating.
But if you run 1-10 technicians, ServiceTitan's pricing model is a problem before you even open the app. Per-user fees in the $125-$300+ range per user per month mean a 4-person shop is looking at $500-$1,200/month minimum. Add onboarding fees, training fees, and annual contract requirements, and you've committed to a significant spend before the software has demonstrated any ROI for your business.

The question is whether you need those things — and whether paying for them makes sense if you don't.

When you strip away the enterprise features, the core workflow for a small HVAC shop is straightforward:

- Build estimates with HVAC-specific line items
- Get customer signatures (in-field or remote)

- Track job costs against margins
- Manage maintenance agreements and renewal reminders
- Let the field tech see their schedule and update job status from a phone
That's it. Most small contractors don't need call center routing, multi-location reporting, or marketing attribution dashboards. They need the core workflow to be fast, reliable, and not require a full-time admin to operate.

Questions to Ask Any Alternative
Before you sign up for any ServiceTitan alternative, get answers to these:
- Is pricing per user or flat rate?
- Is there an annual contract or can you cancel monthly?
- What does onboarding cost?
- Does the mobile app work offline (important in basements, attics, and areas with poor signal)?
- Can estimates convert to invoices without re-entry?
- Is there a free trial — not a demo, an actual trial?
The Migration Question
Switching software is real work. Customer records, job history, equipment lists — you don't want to re-enter all of that manually. Ask any vendor what their data import process looks like and whether they provide migration support. A good vendor will help you get your data in. A vendor who makes migration hard is betting you won't leave once you're locked in.
Bottom Line
ServiceTitan is good software. It's just not sized or priced for a small HVAC shop. If you're running fewer than 10 techs and spending more than $150/month on job management software, you're likely paying for features you don't use. The right alternative is one that covers your actual workflow, has flat or predictable pricing, and doesn't require a six-month onboarding process to get value out of.
