For years I started my day by checking my phone in bed and then spending the next 12 hours reacting to whatever was loudest. I was always busy and never quite in control. The First 15 Minutes: Numbers
Before anything else, look at three numbers. Yesterday's revenue. Today's scheduled jobs and their estimated value. Open estimates that haven't converted. That's it. Three minutes of data gives you a picture of where you are versus where you need to be this week. Everything that follows in your day is more focused when you start with those numbers.
I also check the schedule for today and tomorrow specifically. Are there any holes? Any jobs that needed parts ordered that I need to confirm arrived? Any customers who need a confirmation call before the tech shows up? Fixing schedule problems at 7am is a hundred times easier than fixing them at 2pm when the tech is already on-site.
The Dispatcher Sync
If you have a dispatcher, a 10-minute morning call or meeting covers everything you both need. Who's on what job. Any jobs that need rescheduling. Parts or equipment that need to go out with certain techs. Customer notes about access or preferences. Get it done before anyone leaves the shop or drives to a job. Cuts mid-day interruption calls significantly.
The Thing That Waits Until Afternoon
Email. Email almost never contains anything that needs to be addressed at 7am. The contractors who check email first thing in the morning spend the first hour of their day doing other people's priorities. Save it for mid-morning or midday. Your brain is clearest first thing. Use that clarity on the things that actually move your business forward.
Keep It Short
The whole routine doesn't need to take an hour. Numbers review: 5 minutes. Schedule check: 10 minutes. Dispatcher sync: 10 minutes. That's 25 minutes and you're more organized than 80% of business owners will be all day. Complicated morning routines don't get done. Simple ones do.
