The Tools That Actually Run My Business

By Dina Good, Founder, WerkOps · July 20, 2026

There's no shortage of people trying to sell contractors software, apps, and systems. Some of it is genuinely useful. A lot of it solves problems you don't have. After 25 years of running a trade business, here's the short list of what actually matters.

A Real Accounting System

Not a spreadsheet. Not a shoebox of receipts. An actual bookkeeping system (QuickBooks, Xero, or similar) that gives you a profit and loss statement every month you can actually read. This is non-negotiable. If you don't know what you're making and where it's going, you're not running a business. You're hoping for the best with extra steps.

If you hate doing books, hire someone to do it. A part-time bookkeeper who keeps you current costs $300-$600 a month and produces clarity that's worth many times that.

Job Management Software

Scheduling, dispatching, customer records, and job tracking in one place. Not a whiteboard. Not a group text thread. Not three different apps that don't talk to each other. One system where the whole team can see what's happening, customers get confirmations, and you can find the history on any job in 30 seconds.

This is the single biggest operational upgrade most small contractors can make. The time it saves in scheduling confusion and missed communications pays for it within the first month for most operations.

A Decent CRM

Customer relationship management doesn't have to be fancy. You need a place to store customer information, job history, equipment notes, and follow-up reminders. When a customer calls back two years after their last service, you should be able to pull up their history in 10 seconds and know what you installed, what you serviced, and what's due for attention. That knowledge is what separates you from a contractor who treats every call like a first-time customer.

A Good Accountant, Not Just Tax Prep

There's a difference between someone who files your taxes in March and someone who's your strategic financial partner throughout the year. The second type costs more and is worth every dollar. They tell you when to buy equipment. They plan your quarterly estimates. They advise on structure. They find the deductions you didn't know you were missing. If your accountant only hears from you in February, you're underusing an important resource.

WerkOps was built to be the job management and customer record tool on this list. The one that gives you your time back so you can focus on the work that actually builds your business.

Dina grew up in the trades. Her father was a contractor, then a building inspector, and the job site was her classroom long before any formal one was. She went on to own her own contracting company, which is where she first felt the pain of running a skilled trade business on bad software and worse spreadsheets. A love of data pulled her into programming, and the two worlds eventually collided into WerkOps - software built by someone who has actually been on the truck.
