Why I Started Tracking My Time (And Why You Should Too)

I used to think time tracking was for consultants who billed by the hour. I billed by the job. Why would I track my time? Because I was spending 25 hours a week on things that weren't generating revenue and didn't even know it until I looked.

Two weeks of honest time tracking was one of the most clarifying things I've done for my business. Not comfortable, but clarifying.

What "Tracking" Actually Means

You don't need sophisticated software. A notebook works. At the end of each hour, write what you did for the last hour. Do this for two weeks without changing your behavior. Just observe. Most business owners are surprised by what they find. A lot of time in email. A lot of reactive problem-solving that could have been prevented. A lot of interruptions that fragment the time left over.

The point isn't to make yourself feel guilty. It's to see reality before you try to improve it.

The Categories That Usually Surprise People

Dispatch and scheduling: often takes 2-3 hours a day for owner-operators who haven't automated it. Administrative tasks that aren't generating revenue but aren't being delegated either. Vendor calls that could be handled by someone else. Employee questions that reveal a training gap. Social media browsing that happens between "real" tasks. These aren't personal failures. They're inefficiency patterns that software or delegation can fix.

What to Do With the Data

After two weeks, add up time by category. Revenue-generating activities versus overhead activities versus pure waste. Then ask: what on this list could someone else do? What could software automate? What could I eliminate without anything important breaking?

Most owners find they can move 5-10 hours per week from overhead into revenue-generating or strategic work. At $100 billed per hour, that's $500-$1,000 per week in potential. Over a year, that's a real number.
